The Administrative Assistant II, under direct supervision, provides administrative and clerical support to a department or group of professionals. This person provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
• Manages and maintains calendars and schedules.
• Prepares invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
• Reads and analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
• Opens, sorts, and distributes incoming correspondence, including faxes and email.
• Files and retrieves corporate documents, records, and reports.
• Greets visitors and callers professionally, handles their inquiries, and directs them to the appropriate persons according to their needs.
• Prepares responses to correspondence containing routine inquiries.
• Performs general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
• Prepares agendas and make arrangements for meetings.
• Makes travel arrangements.
• Performs other duties as assigned.
Job Requirements
• High School Diploma or equivalent.
• Minimum of 2 years experience in an administrative assistant role, preferably with a large, fast-paced public company
• Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Microsoft Word.
• Ability to demonstrate a high degree of initiative with demonstrated ability to make solid decisions to support the workload and operations of the team
• Excellent verbal/written communication skills.
• Ability to adapt to changing organizational and operational needs.
• Ability to communicate effectively with others at all levels in the organization.
• Strong organizational skills and the ability to multi-task.
• Ability to maintain the highest level of confidentiality.
